Pre-onboarding checklist

School identity
Confirm official school name, address, contact details, academic year and financial year.
Student identifier
Choose the authoritative GR/admission identifier and decide how duplicates will be handled.
Class structure
Standardize class and division names before import so “1-A”, “Std 1 A” and similar variants do not fragment reports.
Staff authority
List which roles may view students, collect fees, edit attendance, enter marks or reopen results.
Fee structure
Document fee heads, expected amounts, discounts, late-fee rules and receipt responsibility.
Parent identity
Decide which verified parent email will be linked to each child and who approves changes.

Data migration resources

Official Excel import template

Use the School Master template when a school can prepare its data in the recommended structure. It is the simplest path because headers already match the import engine.

Flexible column mapping

Use mapping when the school already has a workbook with local header names. Map those columns first, then continue through the same validation and transaction-safe import flow.

Sample-first migration

Before importing thousands of rows, import a small verified sample. Check names, class/division, identifiers and fee context inside the actual UI. A five-minute sample review can prevent a large cleanup later.

Backup checkpoint

Take a verified backup before a major migration or restore operation. Large changes should have a clear rollback point rather than depending on manual repair.
