Give parents useful access without turning a parent account into a staff account.
Parent access should begin with identity verification and an explicit child link. The safest design is to show the parent only the children and services the school has approved.
Use a verified parent identity
The school should collect and verify the parent email it intends to use. If a parent changes email, treat that as an identity update requiring school review. Do not assume that a contact address found in an old spreadsheet is automatically the correct login identity.
Link children explicitly
A parent may have one or more children in the same school. Each child link should be deliberate. Parent login candidates are scoped by school and active relationship so an email does not automatically reveal unrelated students.
Keep staff permissions separate
Parent accounts are not teacher, office or admin accounts. They should not inherit general student search, fee editing, attendance editing or staff management rights. Parent services are their own workflow.
Show stable information
Attendance and fee information should come from the same school records used internally. Academic results should normally be shown after finalization rather than while teachers are still entering marks.
Parent requests still need school control
Leave requests, PTM, consent, pickup passes, surveys or other services can accept parent input while remaining subject to school rules and approval. A parent being able to submit a request does not mean the parent can directly edit the school's authoritative record.
Use the Parent Management Hub
School Admin/Super Admin can manage parent access and the different parent-service areas from one administrative entry. This makes it easier to distinguish access issues from service requests and engagement content.
Common setup mistakes
- linking an unverified or shared email without checking who controls it;
- creating duplicate parent identities for the same person without a reason;
- showing draft results;
- using parent messages as the only record of an approved school action;
- giving staff permissions to a parent account as a shortcut.
