Make daily attendance simple for teachers and controlled for the school.

Attendance is repetitive work, so the entry screen should be fast. But the rules around who can mark which class and who can correct an older record should still be explicit.

Assign class/division authority

A teacher should normally open only the class/division they are responsible for. Class-scoped access reduces accidental changes and makes the same user permission useful across attendance, marks and student workflows.

Use consistent states

School Master distinguishes common states such as Present, Absent and Leave. The school should decide how late arrivals, half-days or special cases are represented if those cases are part of its policy. Avoid using free-text notes as a substitute for a consistent status model.

Mark attendance at a predictable time

Choose a daily operational routine: for example, class teacher marks attendance after the first period and the office reviews unmarked classes before a set cutoff. A clear routine matters more than adding many reminder screens.

Control corrections

Today's attendance may be routine; changing a previous date is different. Schools should define who can correct historical attendance and what evidence or reason is expected. Audit records help distinguish normal daily marking from administrative correction.

Parent visibility should follow the same record

When Parent Portal shows attendance, it should read the same student attendance record used by the school—not a separately maintained parent-facing copy. That reduces contradictory information between the office and parents.

Useful daily checks

  • Which classes have not submitted attendance?
  • Are there unusually high absent counts that may indicate a marking error?
  • Did a user mark a class outside their assigned scope?
  • Were historical records changed after the normal attendance window?
Mobile tip: On a phone or tablet, the attendance workflow should prioritize the student list and state controls. Large reports and administrative corrections are better handled on a wider screen.
